Collaborations Workshop 2024 (CW24)

The Collaborations Workshop 2024 (CW24) brought together researchers, developers, innovators, managers, funders, publishers, policy makers, leaders and educators to explore best practices and the future of research software.

CW24 logo, three lit lightbulbs on a dark backgroundThe themes of CW24 were:

  • Environmental Sustainability: including how to determine the environmental impact of your hardware and code, training and education about environmentally sustainable behaviour, and activism highlighting potential improvements to existing infrastructure, processes and systems.
  • Artificial intelligence (AI)/Machine Learning (ML) tools for science: including benefits and limitations of using AI/ML tools to write your code, ethical considerations when using these tools, and training and education around the usage and impact of AI/ML tools.
  • Citizen science: including designing participatory research projects, training and education around citizen science, and the role of research software in citizen science projects.

Venue

CW24 took place as a hybrid event. The in person aspect was hosted at Scarman, Warwick Conferences. Warwick Conferences is based on the University of Warwick campus, on the outskirts of Coventry. Remote participation was be facilitated using Zoom. All participants - both remote and in-person - were required to install their client, and make sure that it is updated to the latest version.

Why you should attend

The Software Sustainability Institute invites all members of the research software community to explore and discuss the themes described above and other related issues at CW24. CW24 is also an ideal opportunity to form collaborations (on average, CW participants start two new collaborations by attending) and to discuss topics proposed by attendees. Collaborations Workshop is a great place to network and participants will meet many of the existing Software Sustainability Institute Fellows – key ambassadors in varied research domains.

Call for submissions

Submissions for contributed mini-workshops and demos and lightning talks are now closed.

Mini-workshops and demo sessions

Mini-workshops and demo sessions offer unique opportunities for CW24 participants and sponsors to give an in-depth look at a particular project, tool or approach related to the CW24 themes or other topics relating to research software.

30- or 60-minute sessions are available to:

  • Demonstrate a particular research software related endeavour, project, approach, standard or product
  • Deliver specific training e.g. an interactive tutorial
  • Conduct information gathering or explore a topic

Submissions for proposals for mini-workshops and demos are closed now.

We will notify applicants of the outcome by 15 March 2024.

Lightning talks

A lightning talk gives you two minutes and one slide to discuss a subject. Lightning talks are the perfect way to introduce yourself at the workshop. You could talk about your work, an idea, a problem, a pitch for the CW Hack Day, or anything that's related to software and research, and ideally related to the themes of CW24; alternatively, you could talk on another theme in research software such as software citation, software policy, software as a first class research object, Open Science, FAIR Software, and training.

Submissions for lightning talks are closed now.

We will notify applicants of the outcome by 21 March 2024.

Financial assistance

The Software Sustainability Institute is committed to fostering and supporting a diverse, equitable and inclusive research software community. We are proud to offer financial assistance to members of underrepresented groups, students/early career stages, and others who may not be able to attend or fully participate in the event otherwise.

Beyond the deadline to apply for financial assistance, we offered reduced remote tickets (£40) to students, registered unemployed or people from LMICs.

Applications for financial support to participate in CW24 are closed now.

Accessibility practices

CW24 took place as a hybrid event from the University of Warwick, Coventry, UK.

If you are attending the event in-person, please find more information about the accessibility of the venue here.

In-person participants should bring a laptop and a good quality headset with microphone. Remember, this is a hybrid event and you will still be interacting with other participants virtually.

Hybrid participation will be facilitated using Zoom. All participants - both remote and in-person - will need to install their client, and make sure that it is updated to the latest version. We recommend that remote participants join with a good quality headset with microphone, plenty of screen space (either using a large monitor or second screen), a normally reliable WiFi signal or wired connection, and a quiet room where you are less likely to be disturbed (but we understand this might be difficult).

Transcription and captioning will be provided using Zoom and Otter.ai.

A CW24 Slack workspace will be available for participants to connect, engage in discussion, ask questions, and forge new collaborations. These conversations can persist long after the Zoom room has closed. The invitation link will be emailed to participants via the email they registered with.

We will likely be using Google Documents for collaborative note-taking and keeping everyone synchronised during CW24. The links to these documents will be shared with participants closer to the event. We’re happy to provide alternative options for collaborative note-taking such as Framapad.

For any keynotes and panels, we will make speaker slides available ahead of the talk to facilitate following along with the speaker.

We will encourage demo and workshop facilitators to do the same to make participation as smooth as possible. Accessibility of the session will be taken into account when evaluating session proposals.

If you have any questions about these practices or have additional ideas or requirements to facilitate your own participation in CW24, please get in touch with CW24 chair Patricia Herterich at patricia.herterich@gmail.com
